DISCLAIMER

By registering and enrolling yourself or your child to attend classes, or being present within the premises of Straight Up Dance & Theatre School (SUDTS), you agree to abide by and are bound by our Terms and Conditions, Code of Conduct, and any other policies associated with SUDTS. By providing your e-signature during registration, you confirm this agreement. SUDTS and its staff are not liable beyond their legal obligations or outside activity times. All policies are available on our website at www.straightupdance.com.

SECTION 1 – BOOKINGS AND REGISTRATION

1.1. All registrations and payments must be completed through our online invoicing/booking system, which is the sole method accepted by SUDTS.

1.2. Invoices are issued via our system as follows:

  • For children’s classes, invoices are automatically generated at the start of each calendar month. By enrolling, you agree to receive these recurring monthly invoices until you provide written notice of cancellation, in line with Section 5 (Auto-Enrolment and Cancellation).
  • For adult classes, invoices are issued either per single class in advance or at the start of each half-term for block bookings. Half-term invoices cover only that half-term and do not automatically renew.

1.3. Students must commit to attending all classes; fees are due even if only part of the period is attended. To cancel your membership, one month’s written notice is required for children’s classes, along with payment of any outstanding fees.

1.4. Payment Options and Fee Structure:

  • Children’s Classes: Fees operate on a subscription-style model. Fees are spread evenly across 12 monthly invoices, calculated on a pro-rata basis to cover the full academic year of classes. The monthly invoice amount remains the same each month, regardless of the number of weeks in that month or any school holidays. Parents/Guardians commit to this structure upon enrolment unless membership is cancelled with one month’s written notice.
  • Adult Classes: Fees may be paid either per single class in advance or on a half-termly basis. Where paying half-termly, fees are invoiced at the start of the half-term and cover the full block of classes for that half-term only. Half-term invoices must be renewed separately for each new half-term if the student wishes to continue. Half-term lengths may vary depending on the school calendar.

1.5. New students joining mid-term will first pay the standard hourly rate for any classes taken up to the beginning of the next calendar month (children) or the start of the next half-term block (adults). From that point, invoicing will commence in line with the selected payment option.

1.6. Term details, including costs, will be sent in advance of the new term.

1.7. Cash payments (if agreed) must be in a sealed envelope with the student’s name clearly marked.

1.8. Failure to pay fees by the due date may result in the removal of the student from the class register without notice.

1.9. All payments, including those related to shows, are non-refundable.

1.10. Parents/Guardians are responsible for notifying SUDTS of any changes to registration details, including address, phone number, medical conditions, and emergency contacts.

1.11. By providing your e-signature, you are confirming that you have read and accepted the Terms & Conditions.

SECTION 2 – LATE PAYMENTS

2.1. Payments not received by the due date will incur a £30 late fee.

2.2. Reminder emails will be sent on Day 7, Day 10, Day 14, and as a Final Reminder.

2.3. If payment is not received after the Final Reminder, the account may be referred to a debt collection agency.

2.4. Repeated late payments may result in removal from the class register at the discretion of SUDTS.

SECTION 3 – REFUND POLICY

3.1. Refunds are not provided for non-attendance, except under specific circumstances at the discretion of SUDTS.

3.2. In cases of illness, if a student misses 4 consecutive classes and cannot attend the remainder of the term, a 90% refund may be issued with a valid medical note.

3.3. No refunds are provided for holidays, other commitments, or mid-term withdrawals.

3.4. Refunds are not given if classes are rescheduled due to unforeseen events, provided an alternative is offered.

SECTION 4 – REGISTRATION, ATTENDANCE, AND ABSENCE

4.1. Attendance is recorded for health & safety purposes and will only be shared with emergency services if necessary.

4.2. Students are expected to attend all classes. If a student will miss 2 or more classes, please notify us in advance.

4.3. Students who miss 2 consecutive classes without notice may be removed from the register.

4.4. If a class is cancelled due to teacher illness or unforeseen events, SUDTS will reschedule or provide an alternative class. No refunds will be given if an alternative is provided.

4.5. Important Notice for Parents: To help your child fully engage in their lessons, parents are not permitted to wait inside the room or studio while classes are in session.

4.6. Students must arrive 15 minutes before classes. Entry may be refused if a student arrives more than 15 minutes late, to avoid disrupting the class.

4.7. No fizzy drinks, nuts, or chewing gum are allowed in the studio (water permitted).

4.8. Parents/Guardians must take responsibility for contacting SUDTS staff on the work phone 07766 223035 if a child attending after-school clubs or any other classes has already been collected and will not be attending, will be collected by an adult other than the parent/guardian, or has been given permission to walk home independently.

SECTION 5 – AUTO-ENROLMENT, CHANGES, AND CANCELLATION

5.1. Students are automatically enrolled in new terms unless written notice is provided at least one month in advance.

5.2. A confirmation email will be sent before each new term – parents must check junk/spam folders to ensure it is received.

5.3. Where less than one month’s notice is given, fees for the full notice period remain payable.

5.4. SUDTS reserves the right to terminate a student’s attendance for non-payment.

5.5. Changes to classes or additional classes require parental consent via email.

SECTION 6 – TRIAL PERIOD

6.1. We offer a 2-week paid trial for all new students.

6.2. After the second trial session, parents will receive an email with the option to enrol for ongoing classes.

SECTION 7 – WORKSHOPS/HOLIDAY CAMPS

7.1. Payments for workshops or holiday camps must be made by the specified date at the time of booking.

SECTION 8 – CODE OF CONDUCT & ACTIVITY PROVIDER

8.1. SUDTS is an activity provider. Parents are responsible for their child’s care outside of the activity time.

8.2. Teachers supervise the activity to ensure it is conducted safely.

8.3. Students are expected to treat staff, peers, and chaperones with respect at all times.

8.4. SUDTS will not tolerate offensive, abusive, or disruptive behaviour from students or parents. Repeated or serious incidents (bullying, harassment, aggression) may result in removal from classes or expulsion.

8.5. Teachers reserve the right to refuse entry or remove a student if their behaviour jeopardises the safety or learning of others.

8.6. Parents/Guardians must treat all other parents, staff, and students with respect at all times. SUDTS will not accept bullying, verbal abuse, or physically abusive behaviour. We reserve the right to take legal action, including prosecution, against anyone who is abusive to staff or students. Everyone has the right to a safe working and learning environment.

SECTION 9 – PHOTOGRAPHY/MARKETING

9.1. Consent is required for photography or videography of students under 18. This consent is obtained at registration and may be updated at any time by contacting SUDTS.

9.2. Parents may film or photograph their child only, ensuring no other children are included without permission.

9.3. SUDTS may take photographs or video footage of classes, rehearsals, and performances for use in show programmes, social media channels, the school website, and other marketing or promotional materials. Students will never be identified by full name without prior consent.

SECTION 10 – PRIVACY

10.1. SUDTS respects your privacy and processes personal data in accordance with our Privacy Policy, which is available on our website.

10.2. Parents have the right to request corrections or removal of data at any time by contacting us.

SECTION 11 – UNIFORM & EQUIPMENT

11.1. Uniform: All students are required to wear the official SUD uniform top or SUD uniform jacket, paired with plain black leggings, long cycling shorts, or jogging bottoms.

11.2. Footwear: Trainers or plimsolls with socks must be worn. For safety reasons, Uggs, boots, sandals, or other unsuitable footwear are not permitted.

11.3. New Students: For the first class only, students may wear comfortable clothing such as shorts, joggers, or leggings with a T-shirt. Dresses are not permitted. Trainers must be worn.

11.4. What to Bring:

  • Dance Classes – 1 hour: A bottle of water (no juice or fizzy drinks).
  • Dance Classes – 2 hours or more: A bottle of water (no juice or fizzy drinks) and a small snack (strictly no nuts).
  • Musical Theatre Classes: A bottle of water (no juice or fizzy drinks), a small snack (strictly no nuts), a folder to keep lyrics and script handouts for home practice, and a pencil and rubber for marking notes on handouts.

SECTION 12 – CASTING

12.1. Casting decisions for shows or performances are at the sole discretion of the director/teaching staff. These decisions are final and not open to discussion with parents or third parties.

SECTION 13 – HEALTH, ALLERGIES, AND ILLNESS

13.1. Parents/Guardians must inform SUDTS of any allergies, asthma, or medical conditions.

13.2. Students with asthma must keep their inhaler with them at all times. Students with severe allergies must also keep their EpiPen with them at all times.

13.3. Staff are not permitted to administer medication on behalf of parents.

13.4. Students should not attend class if they are unwell or contagious, and should be clear of illness for at least 48 hours before returning.

SECTION 14 – SECURITY & COLLECTION

14.1. Parents/Guardians must collect students promptly at the end of class.

14.2. Children will not be released until collected by a parent/guardian, unless prior written consent is given for another adult to collect.

14.3. Parents are not permitted to wait inside the studio during class, except during agreed viewings or emergencies.

14.4. Parents/Guardians who wish to volunteer at SUDTS events, classes, or performances must hold an up-to-date Enhanced DBS check. Proof of clearance may be required before volunteering.

SECTION 15 – COMMUNICATION

15.1. Parents/Guardians must ensure SUDTS holds the correct and up-to-date email and phone details.

15.2. SUDTS reserves the right to make changes to its Terms & Conditions, which will be communicated by email.

SECTION 16 – FORCE MAJEURE (Unforeseen Events)

16.1. SUDTS will not be liable or responsible for any failure to perform, or delay in performance, of any of our obligations caused by events outside our reasonable control (“Force Majeure Events”).

16.2. Such events include, but are not limited to: extreme weather conditions, natural disasters, venue closures, industrial action, public health restrictions, or staff illness.

16.3. In such cases, SUDTS will make reasonable efforts to reschedule classes or provide alternative arrangements. No refunds will be given where an alternative is offered.

SECTION 17 – MEDICAL EMERGENCIES

17.1. In the event of a medical emergency, SUDTS staff may administer basic first aid and will contact emergency services if necessary.

17.2. Parents/Guardians will be informed immediately.

17.3. By enrolling, Parents/Guardians consent to SUDTS staff acting in the child’s best interests in such circumstances.

SECTION 18 – INTELLECTUAL PROPERTY

18.1. All choreography, scripts, music arrangements, teaching materials, and show recordings created by SUDTS remain the intellectual property of SUDTS.

18.2. Parents/Guardians and students may not copy, distribute, reproduce, or use such materials without prior written consent from SUDTS.

18.3. Any show recordings or photography supplied by SUDTS are for personal use only and may not be sold, distributed, or used commercially without permission.

SECTION 19 – COMPLAINTS PROCEDURE

19.1. Any concerns or complaints must be submitted in writing to the SUDTS management team.

19.2. Complaints will be acknowledged and investigated.

19.3. SUDTS aims to resolve all complaints fairly, promptly, and with transparency.

SECTION 20 – AGE & CLASS SUITABILITY

20.1. Students are placed in classes according to age and/or ability, as determined by SUDTS staff. Age ranges are set to ensure both safeguarding and safety of all students.

20.2. The final decision regarding class placement, progression, and participation rests with SUDTS staff and management.

20.3. SUDTS reserves the right to move a student to a different class if deemed more suitable for their ability, learning, or wellbeing.
